Red Earth Software releases Policy Patrol for Exchange

Carson City, NV - November 12, 2001 - Red Earth Software, developer of email management solutions, today announced the release of Policy Patrol, an add-on for Exchange that allows companies to include disclaimers in their emails. Unlike existing products, Policy Patrol offers advanced disclaimer functionality such as user based disclaimers, headers and footers, internal disclaimers, support for formatting and merge fields. These features allow companies to increase the relevancy of disclaimers and thus improve their efficacy. Policy Patrol is one of the first products to offer the disclaimer functionality separately, without forcing customers to purchase other security features.

Through its advanced features Policy Patrol allows companies to add more specific and relevant disclaimer notices, greatly increasing the weight of the disclaimer. The user-based disclaimer functionality enables companies to adjust statements according to the particular user or department. For instance, for the sales department a company could mention the fact that quotes are only valid for 30 days and that standard conditions apply to orders, and for the IT Department a notice can be included disclaiming against liability for the effect of their advice. Different disclaimers can also be added to internal as opposed to external email.

Merge fields
Merge fields are replaced with information retrieved from the email message or from the user's properties in the Active Directory. By using merge fields, disclaimers can be made more specific and leave less room for interpretation. For instance, the actual name of the intended recipient can be added to the disclaimer, instead of warning persons who are 'not the intended recipient' that the information is confidential. Merge fields can also be used to add the name of a user's supervisor, for instance to state that the user does not have authority to enter into binding contracts without permission from their supervisor. By stating the name of the actual supervisor, misunderstandings are brought to a minimum.

Formatting
Policy Patrol enables companies to add formatting to their disclaimers, such as a different font color or size. This produces the desired effect that disclaimers are seen separately from the email message text and avoids unsightly plain text disclaimers in rich text or HTML formatted messages. Policy Patrol adds formatted disclaimers to HTML and rich text mails and removes all formatting when sending plain text emails.

'We designed Policy Patrol because the current offer of disclaimer functionality is very basic', says Magnus Andersson, technical director of Red Earth Software. 'Larger companies cannot settle for the same plain text disclaimer for everyone within their organization. They need a flexible, professional disclaimer solution that can be adjusted to their exact needs. Moreover, with the increasing use of disclaimers, non specific disclaimers are simply not having the desired effect any more.'

The Small Business version of Policy Patrol answers the needs of smaller companies, since they are now able to purchase a cost effective disclaimer solution without having to purchase a complete email security system: 'Adding disclaimers is one of the first and easiest things a company can do to protect itself from the legal implications involved when using email on a corporate system. Exchange integration
Policy Patrol works with Exchange 2000 and 5.5. Policy Patrol makes full use of the Windows 2000 architecture and thus saves administrators redefining users by picking up this information from the Active Directory.
